Exhibitor Participation Tips

We will be holding the event rain or shine, so come prepared for any kind of weather. As both shade and covered areas are extremely limited at the fairgrounds, bringing a canopy or tent is strongly recommended. A canopy not only provides shelter, it gives you a place to hang your organization banner and display information. The more visible you make your display; the more likely you are to draw people to your booth.

Please understand that we are unable to provide participating organizations with ANY equipment or supplies to set up their display. All exhibitors are responsible for bringing their own tables, chairs, canopies, electrical cords or other equipment needed for displays! We strongly suggest you label any tables, chairs, etc. with your organization name to ensure your property’s safety.

Providing fun, interactive activities will draw families to your booth and give you an opportunity to promote your message or organization. The longer kids stay at your booth, the longer you have to talk with their parents. You are strongly encouraged to provide educational materials, but be aware that the effectiveness of your message will be enhanced if your booth is an attractive and exciting destination for kids. Feel free to contact a member of the SKSK committee if you need ideas about activities or giveaways. Please remember that there should be no charge to the public for activities or sales of promotional items at Strong Kids/Safe Kids.

Last year’s attendance was estimated between 10 to 12,000 people. Plan on bringing a minimum of 1,000 give away items, brochures etc. We suggest you don’t put all your freebies out at once and stagger your supply throughout the day - or even better, require kids to complete an activity to earn your freebies. We recommend you arrange to have at least 2 people staffing your booth at all times. Very reasonably priced hotdogs, pizza and cold drinks will be available for sale, but we simply don’t have the resources to offer free food or drinks to participating organization volunteers manning exhibitor booths. We suggest you plan to bring along a cooler with water and high energy snacks to make your volunteers more comfortable throughout the day.

Exhibitor Registration will begin Saturday morning at 8:30 AM. All participants MUST CHECK IN at the 4-H Building at the south end of the fairgrounds. Vehicles may be driven into the event area for set up (via Gate 3 only) and MUST BE out of the event  area  by  10:00 AM. SKSK Volunteers will escort you to your location, help you unload equipment at your exhibit site, and direct you to exhibitor parking areas. Please unload your equipment as soon as possible after arrival and move your vehicle to the parking area prior to setting up your display.For safety’s sake, exhibitor vehicles will not be allowed to enter, or remain in, the event area after 10:00 A.M. Please time your arrival to allow sufficient time for registration, unloading, and moving your vehicle.

You may set up tents or drop equipment at your own risk on your exhibit site on Friday between the hours of 12:00 and 1:30 PM. SKSK staff will be laying out the event on Friday morning and cannot guarantee staff will be able to identify your assigned space until after 12:00 PM. If you are renting a tent, please make sure your vendor is aware of Friday set up times. Please be aware that though Chemung County Buidings and Ground staff is onsite at the fair grounds at all times, neither Chemung County, nor Strong Kids Safe Kids is responsible for any equipment that you decide to set up and leave un-attended on Friday night.
